How much does custom software cost in Sri Lanka? A small, focused business system such as a booking, inventory or office workflow tool typically starts from around Rs 300,000, and larger systems with several user roles, integrations and reporting can run past Rs 1,500,000. The ranges in this guide come from the pricing model behind our project cost estimator, so you can test them against your own project.

For startups and SMEs, our estimator applies a lower rate: the small-system range becomes about Rs 210,000 to 630,000. Enterprise projects, which need more planning, documentation and testing, start higher, at about Rs 420,000 to 1,260,000.

What you are paying for

Custom software is priced by the work involved, not by a licence. The main cost drivers are:

1. How many screens and workflows

Every form, list, approval step and report has to be designed, built and tested. A system with three user roles and fifteen screens costs considerably more than one with a single role and five screens.

2. User accounts and permissions

As soon as different people need to see different things (staff, managers, customers), you need logins and permissions. Our estimator adds Rs 40,000 to 90,000 for user accounts.

3. Admin dashboard and reports

Dashboards, charts and exportable reports are often where a system pays for itself, because they replace hours of manual compiling. They add Rs 60,000 to 150,000.

4. Integrations

A rush timeline shortens delivery by roughly a third but adds around 20 percent to the cost.

Costs after launch

Budget for hosting, backups, security updates and small changes once the system is live. Software that nobody maintains slowly becomes a risk. How to keep the cost down

• Start with the core. Build the one workflow that saves the most time first, use it, then add the rest. A first version that is live in eight weeks is worth more than a complete one that takes a year.
• Bring your real forms and reports. The paper forms, spreadsheets and reports you use today are the best specification there is, and they cut discovery time.
• Decide who signs off. Projects stall and grow when nobody can approve a screen. Name one decision-maker.
• Check whether you need custom at all. Sometimes an existing product does the job. Read custom software vs off-the-shelf before you commit.
